Setting up a solid recruitment process starts with a robust ATS integration

An ATS integration is often viewed as a technical issue: retrieving job postings, forwarding applications, and ensuring the integration works. In practice, however, the issue is much broader than that. The way an ATS is integrated directly impacts management, content, the candidate experience, and the extent to which recruitment remains digitally manageable.

For organisations that make recruitment a serious part of their digital landscape, an ATS is therefore not just a standalone system on the sidelines. It is a key component of a cohesive recruitment environment, in which the website, content, processes, and data must all align. That is precisely where the added value of a good integration lies.

An ATS Is Only Valuable If It’s Set Up Correctly

An Applicant Tracking System supports the recruitment process: publishing job openings, processing applications, and managing candidates. That’s the foundation. But an ATS only truly delivers value when it works seamlessly with the rest of the digital environment.

In many situations, problems don’t arise within the ATS itself, but in everything surrounding it. A “careers” site is separate from the main site, content is managed in multiple places, job postings are technically displayed but not logically presented, and responsibility for management is fragmented. In that case, there may be a connection on paper, but not yet a properly structured recruitment environment.

That’s why, when it comes to ATS integrations, we deliberately look beyond just the technical interface. We examine how recruitment is digitally organised within the organisation and how to set that up in a stable and manageable way.

The “Careers” site isn’t a separate entity, but an integral part of the whole

An approach we often use is to integrate the “Careers” site as a subsite within a single central Wagtail CMS environment, alongside the main site. Instead of two separate environments, this creates a single platform where content, structure, and management remain unified.

This has a number of clear advantages. Editors work in a single CMS, content doesn’t have to be maintained in duplicate unnecessarily, and the cohesion between the corporate site and the “careers” site remains better intact. Think of “careers” content, employee stories, employment terms, job listings, and theme pages: you can logically structure and manage all of these within a single environment.

This is also a strong choice from a management and continuity perspective. You prevent digital recruitment from becoming a silo with its own structure, dependencies, and maintenance issues. Instead, you make recruitment part of the same digital foundation as the rest of the website. Of course, integrations other than with Wagtail CMS

are also possible, such as within an online company portal.

Candidate Experience

A candidate’s experience isn’t determined solely by the ATS itself. Much depends on what happens around it. How are job postings presented? Is the path to applying logical? Does the tone of voice align with the rest of the organisation? Is the distinction between informational content and application steps clear?

When the career site and the ATS are well-aligned, it creates a sense of ease. Job openings are easier to find, the context surrounding the roles is clearer, and the path to applying feels less fragmented. This isn’t something you can solve with just a link; it requires a well-thought-out design of the entire system.

Less Fragmentation, More Control

A common problem in recruitment environments is fragmentation. Information is scattered across different locations, management is handled by multiple teams, and changes must be implemented at multiple levels. That takes time and increases the risk of inconsistencies.

By consolidating recruitment into a single, cohesive environment, you gain greater control. Content management becomes simpler, the relationship between the main site and the “careers” site remains clear, and the organisation maintains a better overview of structure, content, and ongoing development. This isn’t just beneficial in day-to-day operations—it’s also crucial for the long term.

Experience with integrations, including Bullhorn’s Connexys and Ubeeo Recruitment Software

We have successfully implemented integrations with, among others, Bullhorn’s Connexys and Ubeeo Recruitment Software. This experience is important because, in practice, an ATS integration is rarely generic. Each system has its own data structure, synchronization logic, functional principles, and management implications.

That is precisely why it is important not only to be able to establish a technical connection but also to understand how recruitment processes work and what organisations need to keep such an integration manageable in the long term. Our experience with Connexys and Ubeeo, among others, helps us make the right choices in this regard: practical, stable, and free of unnecessary complexity.

Not just delivering, but also keeping it manageable

An ATS integration is not a one-time exercise. Recruitment evolves, websites continue to develop, content structures shift, and systems are adapted. It’s therefore important that the integration not only works well initially but also remains understandable and maintainable over time.

That’s why we design ATS integrations to remain manageable in the long term. This includes, among other things, a clear separation of responsibilities, a logical architecture, stable integrations, and a design that avoids unnecessary complexity. The goal is not to add as much technology as possible, but to implement a solution that continues to function effectively.

ATS Integration as Part of Digital Continuity

For us, an ATS integration belongs within the broader conversation about digital continuity. For many organisations, recruitment is a structural process. In that case, you don’t want to rely on a standalone solution that works as long as everything stays the same but becomes vulnerable as soon as the organisation evolves.

By incorporating the “careers” site into a single Wagtail CMS environment and carefully integrating the ATS into that whole, a more stable model is created. Content, management, and the recruitment process each remain in their own place but work together within a single, clear digital framework. This simplifies management and makes future adjustments easier to implement.

The Four Digits Approach

At Four Digits, we don’t build ATS integrations as standalone technical projects, but as part of a sustainable digital environment. We combine our experience with Python, integrations, and Wagtail CMS with a practical approach to management, continuity, and ongoing development.

We examine the role of the ATS within the overall platform, the relationship between recruitment data and content, and how the solution will be managed in practice. This results not in an unnecessarily complex solution, but rather in a clear and robust architecture that organisations can build upon.
